ABOUT SOPHIA COUNSELLING CENTRE

Fr. Seamus Whitney established Sl? an Chro? in **Apply on the
website**, a spiritual centre in Highpark, Kiltegan. After some years
meeting people on a one-to-one basis, he discovered that many people
were suffering emotional and psychological pain and needed a listening
ear. To address these needs, Sophia Counselling Centre was founded to
offer counselling and psychotherapy for people in the West Wicklow and

We are currently recruiting for the role of part-time Centre
Manager/Administrator. The successful candidate will be responsible
for overseeing the day to day smooth running of the Centre. A proven
ability to multi task, project plan and respond professionally and
efficiently to requests is required. A high energy organiser, with a
passion for helping people and finding solutions for any day to day
management and administration matters.

* You ensure that the Centre prioritises the needs and preferences of
the clients in line with the ethos, vision, mission and values of
Sophia Counselling Centre.
* You work closely with the Chair and Board of Sophia Counselling
Centre to ensure that the Centre continues to develop the best
possible service to clients and to develop relationships with key
statutory and voluntary sector stakeholders.
* You are responsible for the management of all operational matters
associated with the efficient and effective running of the Centre.
* You provide ongoing support and guidance to counsellors contracted
to provide sessions to clients of Sophia Counselling Centre and ensure
that all counsellors meet the requirements of the relevant governing
bodies and any statutory requirements such as Garda Vetting, Children
First, etc.
* You represent Sophia Counselling Centre at statutory and voluntary
inter-agency meetings in the region.
* You identify and pursue funding opportunities to support the
continued growth and development of the Centre.
* You lead on the continued development of policies and procedure to
support the ongoing work of the Centre.
* You are responsible for providing timely and accurate reporting of
key Centre metrics to the Board of Sophia Counselling Centre.
* You accept referrals from the statutory and voluntary sector and
from community-based sources and ensure they are appropriately
allocated across Centre counsellors.
* You ensure the Centre is run to the highest standards.
* You demonstrate a commitment to continuous improvement through
ongoing review of current practices in the Centre, informed by
feedback from key stakeholders and best practice.
* You highlight the need for change where appropriate, providing
leadership and direction throughout the change process.

1. TO PROVIDE HIGH STANDARDS OF SERVICE AND CARE TO THE CLIENTS:

* You develop and implement the Operational Service Plan for the
year, providing regular updates and feedback to the Board of Sophia
Counselling Centre.
* You ensure that the Centre is compliant with the appropriate
protocols (for example Children First Guidelines), legal requirements
and best practice. You ensure that any identified gaps are raised with
the Board of Sophia Counselling Centre and addressed immediately.
* You demonstrate a positive approach to your work and encourage the
same from counsellors.
* You monitor the waiting list for counselling and oversee client
allocation

2. TO PROVIDE LEADERSHIP AND MOTIVATION:

* You demonstrate leadership through professional, positive and best
practice behaviours in a way that delivers the best possible service
to the client. This involves demonstrating accountability and seeking
it from counsellors in respect of their contractual obligations.
* You constructively challenge practices and procedures that need to
be improved, challenged or eradicated
* You build strong working relationships with counsellors to enable
them to confide in you about their own practice, their concerns and
issues
* You are responsible for familiarising new counsellors with the
ethos of Sophia Counselling Centre and highlighting any shortcomings
in an expedient and effective way.
* You identify the potential for conflict looking for ways to
prevent it, or acting appropriately and fairly when it does arise
(seeking support from the Board of Sophia Counselling Centre where
required).

3. TO MAINTAIN A SAFE AND HEALTHY WORKING AND LIVING ENVIRONMENT:

* You take appropriate and immediate action to deal with health,
safety, security or environmental emergencies and incidents, seeking
assistance where necessary
* You ensure that counsellors are aware of legal and organisational
health, safety and security policies, procedures and practices
relevant to their work for the Centre
* You identify and work with counsellors to identify, minimize and
manage potential risks in the working environment at the Centre
* You ensure that all regulations such as fire and safety protocols
are strictly implemented
* You act as a role model in promoting health, safety and security

4. TO UNDERTAKE ADMINISTRATIVE DUTIES THROUGH:

* You manage and co-ordinate effective administrative systems for the
Centre to maintain client and counsellor details and documentation
* You ensure all required documentation showing professional body
accreditation, insurance etc has been presented by counsellors and is
stored
* You manage prospective client enquiries
* You ensure that regular meetings with counsellors take place,
where updates and issues can be discussed openly and constructively
and where actions are agreed, minuted and actioned
* You manage key budgetary categories in relation to the key aspects
of the day-to-day costs of running the day service
* You provide Centre reports to the Board of Sophia Counselling
Centre.
* You manage room bookings where necessary

5. INTERNAL AND EXTERNAL COLLABORATION:

* You develop and maintain effective working relationships with
agencies, community networks and partnerships and other service
providers
* In conjunction with the Board of Sophia Counselling Centre, you
identify opportunities to promote the Centre at appropriate fora
* You work collaboratively with those within and outside Sophia
Counselling Centre to improve the provision of service
* You maintain up to date details of community primary care health
and social services and hospital psychiatric and emergency services
and pass on to counsellors as needed
* You help to create a sense of team spirit with counsellors through
encouraging them, providing support, sharing learning and reflective
practice.
* You meet regularly with the Chair of the Board of Sophia
Counselling Centre for support and supervision in respect of the
management and administration of the Centre.

* You regularly monitor, evaluate and reflect on your own knowledge,
methods and practice
* You take responsibility for your own personal and professional
development, seeking and assessing development opportunities to meet
your needs.

* In your interactions with counsellors and with the Board of Sophia
Counselling Centre.
* In your interactions with external agencies while representing
Sophia Counselling Centre.

PERSON SPECIFICATION:

QUALIFICATIONS AND EXPERIENCE:

* A minimum of degree level qualification in a relevant discipline
* Essential competencies: commitment to providing the highest level
of service, respect for others, openness to change, communication
skills? oral, aural and written, professionalism & maintaining
professional boundaries, effective team working, focusing on outcomes,
analysis and problem solving, initiative and taking responsibility and
leadership (All other competencies to be reviewed as part of the
supervision and support process.)
* Relevant post qualification experience in delivering or managing
services.
* A proven track record in leading and motivating teams.
* Currently or previously operating at front-line management or team
leader level.
* The candidate should be an excellent communicator and possess
strong interpersonal skills.
* A management qualification is desirable.
